Key Responsibilities:
- Oversee account-specific administration activities including job posting, interview scheduling, and candidate care.
- Process complex requests and provide support or training to junior team members.
- Manage ad-hoc administration activities to support the recruitment process.
- Complete reports and trackers accurately and to deadlines.
- Build and maintain strong working relationships with recruiters, hiring managers, and other stakeholders.
- Ensure stakeholders are updated on relevant processes and provide first-line support for escalations.
- Contribute ideas for cost savings and operational efficiency.
- Oversee work allocation and review accuracy of output for other Recruitment Coordinators.
- Fully utilize technology and changes implemented to the team.

The Role
Recruitment Administrators provide efficient and flexible administrative support to the recruitment process as part of the recruitment administration team. To act as the main point of contact for all queries relating to the support function of the account.
Key Accountabilities
What you’ll be doing
- Oversees account-specific administration activities for the following scope of services: job posting, interview scheduling, help desk support, pre-employment screening or reference checks initiations or verifications, candidate care, offer management, onboarding, invoice administration, applicant tracking system updates, and requisition management
- Processes more complex requests and provides support or training, as well as acting as a buddy to junior team members
- Managing various ad-hoc administration activities to support the effective running of the recruitment process e.g., updating Operations Manual or other process documentation
- Completing reports and trackers accurately and to deadlines
- Building and maintaining strong working relationships between all parties including recruiters, hiring managers, vendors, and other account stakeholders
- Ensuring stakeholders and colleagues are continually appraised and updated on the relevant processes, including changes, providing first-line support for managing and resolving escalations
- Contributes ideas and actively participates in projects for cost savings, revenue generation, and operational efficiency (Ex. process and benchmark review, time study)
- Overseeing work allocation and reviewing accuracy of output for other (Senior) Recruitment Coordinators
- Fully utilizes technology and other rollouts and changes implemented to the team
Skills & Experience
You’ll need to demonstrate:
- Proficiency in MS Office, using Excel, Word, Outlook, and PowerPoint confidently to create reports, manage documentation, and support day-to-day operations.
- Proficiency in Recruitment Administration, supporting the full recruitment cycle through candidate coordination, interview scheduling, documentation management, Data Literacy, with the ability to interpret datasets, update tracking sheets, identify basic trends, and contribute to data-driven decision-making.
- Excellent communication skills and ability to build long-lasting relationships with candidates, clients and teammates.
- An analytical mind, attention to detail and practical approach.
- Capable of dealing with ambiguity and ever-changing priorities.
